What Show Barn Manager Can Do

Keeping records is an important part of any manager's job. Being able to do so efficiently, and to have the records stay organized, allows a manager to make well-informed decisions quickly and simply.

With Show Barn Manager you can keep track of an unlimited number of horses that come and go from your barn. By simply unchecking a box, horses that are no longer in your care can be removed from all lists and reports, yet all of their history remains stored in the program. If a horse comes back into the barn at a later time, just recheck the box to once again include the horse, and all of its history, on lists and reports.

One of the major areas that Show Barn Manager tracks is due dates for the categories of coggins tests, dental work, deworming, shoeing, and vaccinating. You can set any time interval that you use in your management system for each category, and the program will automatically calculate the next date the horse is due. The due dates for all current horses are listed by category in chronological order and color coded as to whether they are close to due or overdue so it’s easy to see what needs to be done in the near future.

Another major area that Show Barn Manager keeps track of is vet work/health records. Enter information on a vet call or a notable health issue a horse has. Then enter any medications, supplements, and treatments and relate them to the vet work entry, or to a “General” entry if there is no specific vet work. Medications and supplements can then be printed on a feeding list, and medications, supplements, and treatments can be printed in reports either by medication or by horse. A reminders report can be printed showing upcoming dates for things such as series shots like allergy shots or Legend. From vet work records you can also print a complete health history for a horse, or a more specific report for joint injection history, Lyme, or EPM test results.

More general reports that can be printed include a basic information form that is perfect for sending with a horse that is leaving your barn. A more in depth report is the Quick Overview that lists the last 3 entries for each health topic and lists next due dates.

From the Contacts information you can print an address book, and a credit card numbers list for all current customers. You can print a list of USEF owners for all current horses, and a list of who gets billed for each horse. There is also a list of all insured horses with company contact information. Or you can simply print a list of all the horses in the database with the current ones listed first. Some miscellaneous lists that can be printed are a list of horse shows for the year, and a list of mileage or hotel expenses for a specific year.

Under the horse show entry information section of Show Barn Manager you can print pages for an “entry book” by owner with related horses, or simply print a list of USEF member numbers for current horses and people, or a list of horse entry information. A very useful feature is printing labels for use on show entry blanks- the program will print a large amount of information for each person, and also for each horse!

One final area that Show Barn Manager keeps records for is billing. While not a formal billing program, Show Barn Manager can do some basic billing tasks. You can enter items that you need to bill for each day as they happen, and then print statements of unpaid charges for a selected customer, or for all customers with balances over a specific time period. Related to this feature is the ability to track purchases made in bulk for the barn and to print a report of this information, which you can then use to enter your billing information for customers.
